Key Definitions
- "You" or "Customer": Refers to the individual or entity using our website and hotel booking services, agreeing to these terms.
- "ExpoFlyTravel," "We," "Us," or "Our": Refers to ExpoFlyTravel LLC, located at 1145 E 35th Avenue, Apt 7K, Brooklyn, NY, 11210, USA.
- "Hotel Supplier": Includes hotels, resorts, guesthouses, or other accommodation providers.
All terms used here apply to the offer, acceptance, and payment for our services, in compliance with U.S. law. Terms like singular/plural or he/she/they are interchangeable.
Conditions of Use
To use our website or services, you must:
- Be at least 18 years old.
- Have legal capacity to enter a binding agreement.
- Provide accurate, complete, and up-to-date information.
- Be responsible for all payments, changes, or cancellations related to your booking.
- Use our services only for lawful reservations for yourself or others.
Hotel Booking and Payment
When booking accommodations through ExpoFlyTravel, you authorize us or a third-party provider to act as your agent during the booking process with the hotel supplier. We will:
- Process payments on your behalf.
- Confirm reservations and send hotel vouchers to your provided email address.
- Clearly disclose all charges before confirming your booking.
You must provide accurate payment details. We are not responsible for booking failures or price changes due to invalid payment information. Confirmations will be delivered electronically to the email you provide.
Refunds and Cancellations
Voluntary Cancellations
Hotel bookings are subject to the cancellation policies of the respective hotel supplier. Some reservations may be fully refundable if canceled within a specified period (e.g., 24–72 hours before check-in), while others may be partially refundable or non-refundable.
ExpoFlyTravel may charge a service fee of up to $50 per room for cancellations or modifications handled through our customer care team. Refunds, if applicable, are processed to the original payment method within 10–20 business days. Processing times depend on your bank.
No-Show Policy
If you fail to check in at the hotel on the scheduled date without prior cancellation, your reservation may be forfeited, and no refund will be provided, subject to hotel policy.
Hotel-Initiated Cancellations
If the hotel cancels or is unable to honor your booking, we will assist in arranging an alternative accommodation or provide a full refund, subject to supplier policies. We are not responsible for any incidental expenses resulting from such cancellations.
Guest Responsibilities
You agree to:
- Check the hotel’s rules on check-in/check-out times, occupancy limits, pets, and smoking.
- Provide valid government-issued identification at check-in.
- Comply with all property policies (e.g., noise restrictions, damage liability).
Any damages, fines, or penalties imposed by the hotel will be your responsibility.
Intellectual Property
All content on https://ExpoFlyTravel.com, including text, images, and logos, is owned by ExpoFlyTravel or its partners and protected by copyright and trademark laws. Unauthorized use is prohibited and may result in legal action.
Force Majeure
We are not liable for delays, cancellations, or failures to perform due to events beyond our control, such as natural disasters, strikes, pandemics, or government restrictions. In such cases, refunds or changes are subject to hotel supplier policies.
Limitation of Liability
ExpoFlyTravel and its affiliates are not liable for:
- Losses or damages due to errors, unavailability, or inaccuracies in hotel information provided by suppliers.
- Issues caused directly by hotel suppliers, including cancellations, overbookings, or denied check-ins.
- Any indirect, incidental, or consequential damages.
Our total liability will not exceed the total fees paid for the booking. Claims must be filed within 90 days of your stay.
Indemnification
You agree to indemnify ExpoFlyTravel and its affiliates against any claims arising from your use of hotel services, violation of property policies, or breach of these terms.
Dispute Resolution
Any disputes will be resolved through binding arbitration under the American Arbitration Association’s rules in Dallas County, Texas, governed by the Federal Arbitration Act. No class actions are permitted. Each party is responsible for their own legal fees.
Governing Law
These terms are governed by Delaware law. Any legal actions (outside arbitration) must be filed in Dallas County, Texas courts.
